Africa Venture Partners Projects is seeking a highly organised, proactive and dependable Office & Portfolio Support Manager to support its operations, leadership team and portfolio companies in Windhoek. This position combines office administration, executive support, project coordination, documentation management and operational support, requiring a professional who can manage multiple priorities while maintaining accuracy, confidentiality and strong organisational standards. KEY RESPONSIBILITIES • Manage funding applications, submissions and associated deadlines. • Coordinate BIPA processes and maintain accurate company documentation. • Manage leadership calendars, appointments and meetings. • Coordinate meetings, events and workshops and ensure the necessary administrative arrangements are completed. • Provide administrative support to portfolio companies as required. • Oversee general office administration, filing systems and organisational records. • Prepare meeting documentation, take minutes and follow up on agreed action items. • Support the day-to-day operational requirements of the organisation. • Prepare, organise and track formal documentation, applications and submissions. • Maintain accurate administrative records and ensure important documentation is properly organised and accessible. • Coordinate schedules and deadlines across multiple administrative and operational activities. • Handle confidential company and leadership information with discretion. • Communicate effectively with management, portfolio companies and other relevant stakeholders. • Assist leadership with executive support and project coordination activities. REQUIREMENTS • Diploma or degree in Business Administration, Management, Finance or a related field. • 2–3 years of relevant experience in administration, executive support, office management or a similar role. • Proficiency in Microsoft Office or Google Workspace. • Experience preparing and tracking formal documentation, applications or submissions. • Strong written and verbal communication skills. • Strong organisational and administrative abilities. • Ability to manage multiple priorities and deadlines independently. • Highly organised and detail-oriented. • Proactive, dependable and able to take ownership of assigned responsibilities. • Ability to handle confidential information discreetly and professionally. • Valid driver's licence is an advantage.
