Job Summary: We are looking for a meticulous, organized, and reliable Goods Receiving Clerk to oversee the inbound logistics and stock intake at our facility. In this role, you will be responsible for unloading deliveries, verifying physical stock quantities against delivery documentation, and ensuring all received goods are in perfect condition. You will act as a critical gatekeeper for our inventory, ensuring that all cross-border and local delivery paperwork is accurate before stock enters our warehouse management system. Core Responsibilities: Receiving & Inspection: Oversee the unloading of inbound delivery trucks. Unpack, inspect, and verify the physical condition, quality, and quantities of all received stock. Documentation Verification: Cross-check received items against delivery notes, purchase orders (POs), invoices, and supplier packing lists. Cross-Border Paperwork Control: Ensure that documentation for incoming cross-border freight (particularly from South Africa or SADC regions) is fully accounted for. This includes verifying customs clearance stamps, Asycuda documentation, and transport waybills. Discrepancy Reporting: Immediately flag and document any short-supplies, damages, or over-supplies. File formal non-conformance reports (NCRs) to the procurement and finance teams. System Capturing: Input received stock data accurately into the inventory tracking or Warehouse Management System (WMS) to update real-time stock levels. Inter-departmental Coordination: Liaise with the buying, logistics, and accounts payable teams to resolve supplier delivery errors or invoice discrepancies. Safety & Housekeeping: Organize the receiving bay to ensure safe traffic flow for forklifts and personnel. Maintain a clean, hazard-free workspace according to standard safety regulations. Required Qualifications: Education: Grade 12 (Matric) certificate with a pass in Mathematics or Accountancy. A certificate or diploma in Supply Chain, Logistics, or Warehouse Management is an advantage. Experience: Minimum of 2 years of experience as a receiving clerk, storeman, or warehouse assistant in Namibia. Technical Skills: Proficiency in inventory software (e.g., Sage, SAP, Syspro, or custom WMS) and basic Microsoft Office (Excel and Outlook). Logistics & Customs Awareness: Basic understanding of Namibian import processes, SACU regulations, and VAT requirements on imported goods. Physical Fitness: Ability to lift heavy objects, stand for extended periods, and operate warehouse equipment (e.g., pallet jacks). A forklift license is a strong asset. Language Skills: Professional fluency in English (written and spoken) is required. Knowledge of Afrikaans, Oshiwambo, or other local languages is highly beneficial for interacting with delivery drivers and local suppliers. Integrity & Honesty: Strong ethical standing, as this role manages high-value corporate assets and prevents stock shrinkage. Stress Tolerance: Ability to remain calm, organized, and focused during high-volume delivery hours or when dealing with tight turnaround times.
